How To Use the OfficeMaps Mobile App

Introduction Video

Signing In

To start the app, open the program  and when prompted, log in using your method of choice.

My Week

When you first open the OfficeMaps Mobile App, you will be presented with the My Week page. This page provides at-a-glance information about permanent allocations and temporary bookings for this week and beyond. From this page new bookings can be created and you can check in to reservations that have been made.

To view details of an existing booking, click on it to display information including the name of the asset and its location on the map.

If the booking has not been checked in, it can be cancelled. The location of the booking can also be viewed on a map.

If the booking is today and you haven’t checked in yet, you can check in to the asset, selecting a duration for the check-in.

If you are checked in to an asset you can also check out when you're done.

New Booking

Users can use the + button to assign themselves to an asset or to reserve one for a future date. Click on the + button to begin the process.

First, choose an Asset Type in the field "For". Select one of these types to restrict your new booking to available assets of that type. You can choose "All Assets" to pick from any asset type, or "All Desks" to select only any asset that is labelled as a Desk asset type (for example, a Workstation or an Office, but not a Car Park).

Choose a date or date range for your booking, and then select a location. By default you will see your Starred Locations which indicate that these are favourite places that you use most often. You can switch between Starred and All locations to see every location that is available. You can change whether a location is Starred by toggling the star icon next to its name wherever it appears.

Once you have chosen a location you should choose the specific asset for the booking. Individual assets can also be Starred, like Locations.

If the booking is for today, you'll also be prompted for a duration, specifying how long your check-in will go for. You'll then
be given the option to check in immediately. If you choose to check in later, the new booking will appear on your My Week page as a reservation.

Maps

Selecting the Maps button displays all the locations within the organization. By default you will see your Starred Locations which indicate that these are favourite places that you use most often. Select a location to view a map of that floor, including where people are currently seated.

People

Selecting the People button shows all the people within the organization. By default you will see your Starred Locations which indicate that these are favourite people that you view most often. Use the search bar at the top to enter a text search for a user, or under "All", select a letter on the left-hand side of the list to filter by the first name of the user.

To view details of a person, click on their name to display information including their status, current allocations and contact details.

Scan

Clicking the Scan button allows users to check in to an existing reservation through a QR code.

The Navigation Bar can be opened by clicking on the button next to "My Week". It shows information about the user and the mobile app itself. Users can also set their Status by clicking on the status under the profile image.
