How To Use the OfficeMaps 365 App

About the OfficeMaps 365 App for Teams and Outlook

With the OfficeMaps 365 App you can quickly create a new booking or check in to an existing reservation that you’ve made. You can view maps of the locations within your organization to see assets and where people are located. You can also search for other users to view important information like their contact details and their location.

Pre-requisites 

IMPORTANT: Before you start using the OfficeMaps 365 App, you must have an OfficeMaps account and be an active member of an instance. If not, you will not be able to sign in to use the app. 


App Functionality  

Signing In

To start the app, click the OfficeMaps icon within Teams.

When prompted, log in using your method of choice.

My Week

When you first open the OfficeMaps 365 App, you will be presented with the My Week page. This page provides at-a-glance information about permanent allocations and temporary bookings for this week. From this page New Bookings can be created and you can check in to reservations that have been made.

 

To view details of an existing booking, click on it to display information including the name of the asset and its location on the map.

 


If the booking has not been checked in, it can be cancelled.



If the booking is today and you haven’t checked in yet, you can check in to the asset, selecting a time period for the booking.

 


If you are checked in to an asset you can also check out of the asset.


New Bookings 

Users can use the New Bookings button to assign themselves to an asset or to reserve one for a future date.  Click on New Bookings to begin the process.

 


A set of different asset types are listed at the top of the page. Select one of these types to restrict your new booking to available assets of that type. You can instead choose "All Desks" to select any asset that is labelled as a Desk asset type (for example, a Workstation or an Office, but not a Car Park).



To create bookings for a range of dates, use the Calendar dialog to select a beginning date and an end date (these can be the same). The buttons Today, Tonight or the following day allows you to easily select a single date instead.


In the section Where, choose a location to select a specific asset. The number of assets of the selected asset type will be shown for each location. Select a location with available assets.

 

You can then filter the desk view based on availability, Neighbourhood or asset attribute. From the list of assets that are listed, select one that is available to make a booking for the specified date.

 

If the booking is made for today, you will be given the option to check in immediately. If you choose to check in later, the new booking will appear on your My Week page as a reservation.

 

Maps

Selecting the Maps menu option displays all the locations within the organization. Select a location to view a map of that floor.

People

Selecting the People menu option shows all the people within the organization. Select a letter on the left-hand side of the list to filter by the first name of the user or use the search bar at the top to enter a text search.

 

To view details of a person, click on their name to display information including their status, current allocations and contact details.
