Configuring desk reservations

  1. Reservations allow users to select a desk for a future date. Reservations settings are found in Preferences -> Allocations.

Reservations Options



Option
Function
Enable reservations for up to weeks in advance of this week (0 to 10) weeks

  1. Enables the reservations functionality. This option must be checked for reservations to be enabled.
  2. Restricts the period in advance that a user can create a desk reservation to x number of weeks. 

Don't allow reservations for Saturdays and Sundays

  1. Disables the ability to create a reservation for a Saturday or Sunday
Send a reminder email the day prior to reservations at x:xxAM

  1. Sends a reminder email to users who have a reservation for the same day at a time specified. The reminder email contains:
    1. The identity of the desk or object reserved.
    2. The reservation date.
    3. The site and floor.
    4. A pin number that can be used to check in via a touch screen kiosk.
    5. A button to cancel the reservation.
Send a reminder email for reservations that have not checked-in by x:xxAM

  1. Sends a reminder email to users who have a reservation for the same day at a time specified. The reminder email contains:
    1. The identity of the desk or object reserved.
    2. The reservation date.

    5. A button to cancel the reservation.
Enable the check-in button in reservation reminder emails

  1. Appends a check in button to prior day and same day reminder emails where configured for use.
Cancel all reservations for the day (but not future days) that have not checked in by x:xxAM

  1. Cancels all reservations for the current day that have not checked-in by the time specified. 
  2. Reservations cancelled in this manner are considered no-shows.
Send notification email for both automatically cancelled and administrator cancelled reservations

  1. Sends an email to the user who's reservation has been cancelled to inform them of the cancellation.
